Pair a card terminal

Pairing connects your EFTPOS terminal to Adakite, so the till sends the amount to the pinpad and records the approval against the order. Staff stop keying amounts in by hand, and your card takings reconcile at the end of the day.

You only do this once per terminal. It takes a few minutes.

Before you start

You need three things:

  • Your terminal must be a Linkly-enabled model from your bank. Linkly is the software Australian bank terminals use to talk to a point of sale system, and your bank switches it on for your terminal.
  • Your Linkly Cloud username and password. Your bank issues these per terminal when Linkly is enabled. If you don't have them, ask your bank's merchant support team for your Linkly Cloud credentials.
  • Access to Adakite's admin dashboard for your store.

Adakite never stores your Linkly password. It is used once, at the moment of pairing, to obtain a key for that terminal, and is not saved.

Step 1: Add the terminal in Adakite

  1. Open the admin dashboard and choose your store.
  2. Go to Card terminals.
  3. Type a name you will recognise, such as "Front counter", and select Add terminal.

If you have more than one pinpad, add one entry per pinpad and name them after where they sit. Staff pick the terminal by that name when taking a payment.

Step 2: Get a pair code from the terminal

On the pinpad, press FUNC, then 8880, then Enter. The terminal displays a pair code.

Some models label the keys differently. If those keys do nothing, ask your bank how to display the Linkly Cloud pair code on your model. The code is short lived, so have the admin dashboard open before you fetch it.

Step 3: Pair

  1. In Card terminals, select Pair next to the terminal you added.
  2. Enter your Linkly Cloud username and password.
  3. Enter the pair code showing on the pinpad.
  4. Select Pair terminal.

If it fails, the usual cause is a pair code that has expired. Fetch a fresh one from the terminal and try again.

Once paired, turn on Show on POS so staff can select that terminal when taking a payment.

Step 4: Take a test payment

Ring up a small sale on the POS, select Card payment, choose the terminal and send it. The amount appears on the pinpad. Complete the payment on the terminal as you normally would, and the order updates by itself.

Refund that test sale from the same order screen to check refunds reach the same card.

Choosing what prints

The terminal's own receipts print on your receipt printer rather than on the pinpad roll, so a customer gets one slip instead of two. On the Card terminals page you can choose the merchant copy only, both copies, or neither.

A merchant copy is worth keeping for any payment where the customer signs, since that is the copy carrying their signature.

Day to day

  • Settlement. Settle the day from the Card terminals page. Adakite keeps the totals your bank reports, which is what you reconcile your takings against.
  • Reprint. The last receipt can be reprinted from the same page.
  • Payments to check. If a card is approved but something stops the order being updated, Adakite says so rather than guessing, on both the order screen and the Card terminals page. A manager confirms what happened and closes it off. It never decides on its own that money did or didn't move.

Unpairing and replacing a terminal

Select Unpair to disconnect a terminal, for instance when your bank swaps the hardware. Pair the new one the same way. Records of payments already taken are kept whatever happens to the terminal itself.
